I am obsessed with assessment. I love assessment because you are able to find patterns that can give key insights on how to make improvements on what you are already attempting to do. That’s why I created this Family Assessment Survey. Check it out…

 

I created this Family Assessment Survey because I wanted to find out how our Student Ministry could best partner, engage and connect with every family associated with our Student Ministry. I actually stumbled on this idea in Chap Clark’s book, Youth Worker’s Handbook to Family Ministry. Assessment is the first step in figuring out how to improve parent partnership in our youth ministries.

 

The Family Assessment Survey does 3 things:

  1. Allows parents to freely communicate to the youth pastor and for the youth pastor to humbly listen.
  2. Allows the youth pastor to know what each family is needing and wanting from their local youth ministry department.
  3. Identifies each families level of engagement.

 

The Best Ways To Use The Family Assessment Survey:

When you download this resource you need to consider three things.

  1. HOW YOU’LL CUSTOMIZE IT. First you need to make this family survey fit the style, tone and tradition of your youth ministry. Feel free to add your logo and more questions. You have full permission to adapt this assessment to get the data you need from your families involved in your Student Ministry. This is your one shot to ask families any question you’d like.
  2. WHEN YOU’LL SEND IT. The second thing you need to think about is when you will send out this assessment. I would recommend sending this survey out after the school year has ended.  The best time to assess stuff in youth ministry is when a school year has just concluded. This assessment survey will give families an opportunity to tell you how your Student Ministry can improve for the following year as you seek to better minister alongside families.
  3. HOW YOU’LL SEND IT. The last thing you need to figure out is how you will transmit this survey.  In the video I suggested that direct mail, email and utilizing free online tools (namely surveymonkey.com) are all great options. I would also make this survey available on your Student Ministry website or blog. My philosophy with parent communication is to use all tools and hope and pray that at least one works.

At The Chapel at CrossPoint, our Children’s, Middle School, and High School Ministries are huge believers in the need to partner with parents. One of the ways that we’re committed to doing that is by giving parents opportunities to win with their kids.

Last year, we were inspired by an idea we got from several Chick-Fil A locations around the country that have experimented with a Father-Daughter Date Night. Their events were complete with an RSVP system, wait staff, special table arrangements, and discounted meals. They’ve received tons of great feed-back on their events and, since we don’t have any Chick-Fil-A’s in Buffalo quite yet, we decided to create our own date night for dads and their daughters.

We partnered with a restaurant in our area to do our version of this event. The interest level was enormous – we couldn’t believe how many dads were so enthusiastic about taking their little girls out for the night! Tickets sold out so quickly that we had to arrange an additional time slot with the restaurant to accommodate more families… and even then, there were many dads who weren’t able to secure a table. (If a family wasn’t able to get a ticket to the event, we encouraged those dads to do a date night of their own with their daughters and sent them some tips, ideas, and printable supplies to those dads to get them started.)

Some of the highlights…

  • Decorative placemats that doubled as conversation-starters.
  • flower for each daughter tied to a personalized love note from their dads.
  • photographer shooting candid photos as well as individual photos of each dad and daughter – we later posted the photos on Facebook and on our website at a high resolution so they could be downloaded and printed.
  • Coupons and give-aways provided by the restaurant who hosted us.

We’ve found that a great way to help our Small Group Leaders stay focused and effective in ministry is to give them a handful of reachable and measurable goals. We narrowed down all of our hopes and expectations for our Small Group Leaders into 6 goals, which we ask them to complete every semester. And if they do, they get a nice little reward…

So here’s what we’re looking at…

THE GOALS:

  1. SEND POSTCARDS. We always keep stacks of postcards on hand for our Small Group Leaders to use. We’re constantly encouraging and reminding them to take advantage of those postcards to send their students quick little notes – maybe for their birthdays, if they haven’t seen them in a while, or just to say hi. We hear all the time from parents who say that postcards from their kids’ Small Group Leaders are hung on refrigerators, tacked to bulletin boards, or displayed in their kids’ rooms. When our Small Group Leaders write a stack of postcards for their students, all they need to do is hand them to someone on our staff – we pay the postage and put them in the mail the following day.
  2. HAVE A PARTY. Small Group Leaders investing in their students outside of church is a big deal for us. An easy way to do that is by having a small group party! We recommend 1 or 2 parties each semester. We help our Small Group Leaders make these parties happen by creating their flyers, providing supplies whenever possible (like Nerf guns, games, snacks, or time in our building), and also giving them a monthly budget to help cover their costs.
  3. CONNECT WITH PARENTS. Each semester, we want our Small Group Leaders to be conscious of what they are doing to actively connect with the parents of their students. So whether that’s through parent e-mails, a parent-hangout, or even just briefly touching base in person, we want our Small Group Leaders to always keep partnering with parents in mind.
  4. COME TO THE PARENT EVENT. In addition to what our Small Group Leaders are doing on their own to connect with parents, each semester we also host an event specifically designed for Small Group Leaders and parents to connect. Now that we have several of these events under our belt, our Small Group Leaders know that their participation in these events is super important because they’re one of the few times they can get so many of their students’ parents together in the same room.
  5. TEACH A FAITH SKILL. Although we’d love for our Small Group Leaders to be able to help their students learn one of the 5 Faith Skills every month, we know that’s probably not possible with everything else they’re trying to do. So we simplified it by encouraging them to choose just one Faith Skill sometime during the semester and do it really well.
  6. HANG OUT ON A KID’S TURF. We put a huge emphasis on connecting with students and families outside of church. But one of the ways a Small Group Leader can make a HUGE impact with a relatively simple gesture is by showing up somewhere that is meaningful to their students. Maybe it’s their big game, or their dance recital, or their birthday or graduation. Whatever it is, we encourage our Small Group Leaders to keep their eyes open for opportunities to show up on a kid’s turf – it communicates immense value and builds incredible influence!

When our Small Group Leaders are finished with all of their goals, they send us an email telling us what they accomplished. We love hearing the stories of how their parties went, how they’re creatively connecting with students and parents, and what they’re doing to better disciple their students. These emails are also a great way for us to get ideas about what is and isn’t working so we can communicate that to the rest of our Small Group Leader team.

At the end of each semester, we gather up all the names and emails of our Small Group Leaders who completed their goals and we buy them gift cards. These prizes work as a great incentive to complete these goals but, more importantly, it’s also a “thank you” for all of the hard work and energy that we know our Small Group Leaders put into their students. So while a few bucks on a Starbucks card can’t really compare to the effort it takes our Small Group Leaders to make these goals happen, it at least demonstrates that we value them and all of their hard work.

Our ministry is always looking for ways to do a better job of partnering with parents.

Because we have kind of a large student ministry, we’ve found that the best way for us to partner with parents is to train our Small Group Leaders to be the primary link between the church and the family. These Small Group Leader Profile Cards are one super helpful tool that we use to make that happen.

We tell our Small Group Leaders to use these Profile Cards kind of like business cards. They sometimes give them out to students but, most importantly, they give them out to parents. We always have these cards on hand for our Small Group Leaders’ use, but we specifically make it a point to hand them out at any parent event – especially at our Small Group Leader & Parent Breakfasts.

 

Each Profile Card gives parents some important information on their child’s Small Group Leader…

  • Their name and photo.
  • At which campus and service time they serve.
  • The grade level they work with.
  • Their phone number and e-mail address.

We’ve also seen some cool variations on this idea that have included brief bios, birthdays, and even personalized notes from each Small Group Leader – all great ideas!

As we explain in the video, these cards have had a ton of really positive effects on how we do ministry, but the most significant has been the effect that they have had on parent and Small Group Leader partnerships. The simple act of a Small Group Leader placing one of their cards in the hand of a parent communicates so much to a mom or dad – that they are committed to their child, they are available to their family, and they are willing and prepared to make an investment that transcends a once-a-week Sunday morning small group time.

For the last five years or so, our church has embraced the idea that we, as a church, need to partner with parents in order to make a lasting spiritual impact on students’ lives. But… we were a little stuck on how to actually put that idea into practice. We believed in it. We just weren’t sure how to translate it into our ministry context.

But we were determined to make this parent partnership thing happen so, a couple of years ago, we decided it was time to just try something.

Here’s what we came up with…

As we explain in the video, the feedback we received from this Breakfast (and from the Breakfasts we’ve had since then) really blew us away. We couldn’t believe the positive response we received, from both parents and Small Group Leaders. Parents jumped at the chance to talk to their kids’ Small Group Leaders. It refocused and reenergized our team and was the catalyst to beginning a huge wave of partnership and connection with parents.

The event itself was pretty straight-forward…

  • We provided breakfast and set up a table for each of our Small Group Leaders and their students’ parents.
  • We began the event with a short 5-minute introduction and time of vision-casting for the day.
  • Everyone got a placemat that doubled as a fun “conversation-starter,” with silly questions, spiritual questions, personal questions, and questions that would spark conversation specifically about Small Group Leader and parent partnerships.
  • Parents all received their Small Group Leader’s Profile card with their photo and contact information on it.
  • We promoted the book Parenting Beyond Your Capacity, by Reggie Joiner & Carey Nieuwhof (which encourages parents to strategically partner with other believers to help them influence their kids), and provided a bunch of copies that parents could borrow.
  • Parents received a feedback card, where they could share their thoughts and ideas.

And then, for a full hour (actually, more than that – it was hard to get people to go home!) parents and Small Group Leaders just… talked. They got to know each other. They talked about their kids. They brainstormed ways they could partner together. They planned get-togethers and service projects for their students. Parents shared their concerns and struggles. Small Group Leaders gained lots of valuable information about their students that they didn’t know before. And, at the end of the morning, both parents and Small Group Leaders saw what it could be like to work together for the sake of the kids they were both trying to influence.
